This Privacy Policy describes how ClubConnect LLC ("ClubConnect," "we," "us," or "our") collects, uses, and discloses information when you use our platform, including our web application, mobile applications, and related services (collectively, the "Service").
ClubConnect provides a private social engagement platform to private clubs ("Clubs"), which then make the Service available to their members ("Members"). This policy applies to both Clubs that contract with us and Members who use the Service.
When a Club subscribes to ClubConnect, the Club provides us with information about its Members so we can create accounts and pre-populate profiles. This typically includes name, email address, phone number, membership tier, household relationships, member since date, and similar membership directory information. The Club determines which information to share with us under its agreement with the Member and applicable law.
When you use the Service, you may provide information such as profile details, interests, group memberships, event RSVPs, messages to other Members, and content you post within your Club's community. You may also upload a profile photo.
We automatically collect technical information when you use the Service, including IP address, device type, browser type, operating system, pages viewed, links clicked, and timestamps. We use cookies and similar technologies to operate the Service, remember your preferences, and analyze usage patterns.
If your Club uses club management software that integrates with ClubConnect, we may receive information about your membership status, billing tier, or activity from that system, as authorized by your Club.
We use the information we collect to:
Your Club has access to information about your activity on the Service, including engagement metrics, group participation, event attendance, and connection patterns. Authorized Club administrators can view individual member profiles, churn risk scores, and engagement analytics. This is a core function of the Service.
Other Members of your Club can see information you choose to share in your profile, your group memberships, your RSVPs to events, and any content you post within community features. Direct messages are visible only to the sender and recipient(s).
We share information with third-party service providers who help us operate the Service. These include cloud hosting and infrastructure providers (such as Amazon Web Services), error monitoring and logging services, and analytics providers. These providers process information on our behalf and are contractually obligated to protect it.
Notwithstanding the foregoing, mobile phone numbers and SMS opt-in consent information are never shared, sold, rented, leased, or transferred to any third parties or affiliates for any purpose, including marketing, lead generation, or analytics. SMS messages to your mobile number are delivered solely through the carrier-network providers required to transmit them.
We may disclose information when required by law, subpoena, court order, or other legal process; to protect the rights, property, or safety of ClubConnect, our users, or others; or in connection with a merger, acquisition, or sale of assets.
ClubConnect does not sell personal information to third parties for advertising or marketing purposes.
When you opt in to receive SMS messages from ClubConnect, we collect your mobile phone number and your SMS consent preferences (including the date, time, and IP address of your consent). We use this information solely to deliver the transactional SMS messages you have signed up for (event reminders, event invitations, waitlist offers, member connection requests, welcome messages, and one-time verification codes) and to maintain a record of your consent.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of personal information described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
You can opt out at any time by replying STOP to any message, or by unchecking the SMS option at <club>.club-connect.io/profile/notifications. Reply HELP for assistance, or contact help@club-connect.io. Message and data rates may apply. Message frequency varies (approximately 2–6 messages per month).
We retain personal information for as long as your Club maintains an active subscription and your account is active. If your Club terminates its subscription or you leave your Club, we will retain your information for a reasonable period to allow your Club to retrieve it, after which we will delete or anonymize it in accordance with our data retention policies and applicable law.
We implement reasonable technical and organizational measures designed to protect personal information from unauthorized access, disclosure, alteration, and destruction. These include encryption in transit and at rest, access controls, and regular security reviews. However, no system is completely secure, and we cannot guarantee absolute security.
Depending on where you live, you may have certain rights regarding your personal information, including the right to access, correct, delete, or restrict processing of your information, and the right to data portability.
For Members: Many of these rights are exercised through your Club, which controls your account and the data shared with ClubConnect. Please contact your Club's General Manager or administrator first. You may also contact us directly at the address below, and we will work with your Club to fulfill your request.
California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how we use it, the right to delete personal information, and the right to non-discrimination for exercising these rights.
Residents of the European Economic Area, United Kingdom, or Switzerland have rights under the General Data Protection Regulation (GDPR) and equivalent laws, including the rights described above and the right to lodge a complaint with a supervisory authority.
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately and we will delete it.
ClubConnect is based in the United States, and the information we collect is processed in the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. If we make material changes, we will notify you through the Service or by email. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
